Evergreen Reiki (“Evergreen Reiki,” “we,” “us,” or “our”) respects the privacy and confidentiality of our clients. This Client Privacy & Wellness Information Disclosure explains how we collect, use, store, share, and protect information in connection with Reiki sessions, meditation support, wellness education, appointment scheduling, payment collection, and related services.
Evergreen Reiki is committed to treating client information with care, respect, and discretion.
Our Wellness Services
Evergreen Reiki provides Reiki sessions, meditation and wellness support, Reiki education, and related wellness resources intended to support relaxation, self-awareness, personal well-being, and self-care.
Reiki and related wellness services are complementary practices. They are not medical treatment and are not a substitute for diagnosis, treatment, medication, psychotherapy, counseling, emergency care, or advice from a licensed physician, mental-health professional, or other qualified health care provider.
Evergreen Reiki does not diagnose medical or mental-health conditions, prescribe medication, perform medical treatment, guarantee results, or provide emergency services.
If you have a medical concern, mental-health concern, emergency, or crisis, contact an appropriately licensed professional, call 911, call or text 988 for the Suicide & Crisis Lifeline in the United States, or seek emergency care.
HIPAA and Medical-Facility Services
Evergreen Reiki is a wellness practice and does not represent itself as a medical provider, health plan, or health care clearinghouse.
Our private Reiki and wellness services are generally offered on a self-pay basis and are not intended to involve health-insurance billing or HIPAA-standard electronic health care transactions. For this reason, Evergreen Reiki may not be a HIPAA-covered entity under the federal Health Insurance Portability and Accountability Act of 1996 (“HIPAA”).
Even where HIPAA does not directly apply, Evergreen Reiki is committed to maintaining reasonable privacy practices and handling client information respectfully.
When Evergreen Reiki provides services within a hospital, clinic, hospice, medical office, or other health care facility, services may be provided under that organization’s privacy, confidentiality, security, documentation, and patient-information policies. In those settings, the facility’s applicable privacy notice, confidentiality requirements, and HIPAA-related procedures may govern information received, used, documented, or shared in connection with services provided at that facility.
Clients receiving services through a medical facility should direct questions about the facility’s handling of health information to that facility or its privacy officer.
Information We May Collect
To provide scheduling, payment, communication, Reiki, meditation, educational, and wellness-support services, Evergreen Reiki may collect information such as:
- Your name, email address, phone number, and preferred contact method
- Appointment date, time, selected service, cancellation, rescheduling, and attendance information
- Information you voluntarily share about wellness goals, preferences, intentions, concerns, experiences, or feedback
- Session notes maintained to support continuity of service, client preferences, follow-up, and reasonable business or professional recordkeeping
- Messages, questions, feedback, testimonials, or other information you provide through email, forms, booking tools, text messages, or direct communication
- Payment-related information, transaction details, or payment confirmations
- Any other information you voluntarily choose to provide
You are not required to share information beyond what is reasonably necessary to schedule or receive a service. Please do not submit detailed medical records, emergency information, financial-account information, or other highly sensitive information through public website comments, ordinary email, text messages, or unsecured website forms.
Session Notes
Evergreen Reiki may maintain brief, private session notes about information you voluntarily share, services provided, wellness goals, client preferences, observations, follow-up considerations, and other details reasonably necessary to support continuity and quality of service.
Session notes are maintained for Evergreen Reiki’s internal professional and administrative use. They are not shared outside Evergreen Reiki except with your authorization, as necessary to provide a requested service, when required or permitted by law, or as otherwise described in this disclosure.
We retain session notes only for as long as reasonably necessary for service continuity, business administration, insurance, legal, tax, recordkeeping, safety, and dispute-resolution purposes.
How We Use Client Information
Evergreen Reiki may use client information to:
- Schedule, confirm, reschedule, and manage appointments
- Send appointment confirmations, reminders, cancellations, and follow-up communications
- Provide Reiki sessions, meditation support, educational offerings, and other requested wellness services
- Maintain session notes and reasonable client-service records
- Process or confirm payments
- Respond to questions, feedback, or concerns
- Improve our client experience, services, website, and administrative processes
- Meet legal, tax, accounting, insurance, recordkeeping, or safety obligations
- Protect the rights, safety, and property of Evergreen Reiki, our clients, and others
We use only the information reasonably necessary for these purposes.
Confidentiality
Information shared during a Reiki session, wellness consultation, or private communication is treated as confidential and is not intentionally shared outside Evergreen Reiki except as described in this disclosure, with your authorization, or when required or permitted by law.
We may share limited information with service providers that help us operate our business, including appointment-booking, calendar, email-delivery, text-messaging, payment-processing, website-hosting, technical-support, security, and communication providers. We share only information reasonably necessary for those providers to perform their services.
Evergreen Reiki does not sell or rent client information.
Limits to Confidentiality
Although Evergreen Reiki strives to protect client privacy, confidentiality may be limited in certain circumstances. We may use or disclose information when we reasonably believe it is necessary to:
- Respond to a valid legal requirement, court order, subpoena, or other lawful process
- Help prevent a serious and imminent threat to your safety or the safety of another person
- Report suspected abuse, neglect, exploitation, or other circumstances where reporting may be required by applicable law
- Protect the rights, safety, property, or legal interests of Evergreen Reiki, our clients, or others
- Obtain professional, legal, insurance, accounting, technical, or administrative support, provided information is limited to what is reasonably necessary
- Comply with applicable medical-facility privacy, confidentiality, documentation, security, and patient-information requirements when services are provided within a health care setting
If a disclosure is required or appropriate, Evergreen Reiki will make reasonable efforts to limit the information shared to what is necessary under the circumstances.
Booking, Calendar, and Text Reminders
Evergreen Reiki uses Bookly, a WordPress appointment-booking tool, to manage appointment requests, scheduling, and related communications.
When you request or book an appointment through Bookly, we may collect your name, email address, phone number, selected service, appointment date and time, and any optional notes or information you choose to provide. This information may be used to schedule and administer your appointment, send confirmations or reminders, communicate scheduling changes, and respond to booking-related requests.
Bookly may synchronize appointment information with Evergreen Reiki’s Google Calendar. As a result, booking information such as your name, service, appointment date, time, and scheduling details may be transmitted to and stored through Google Calendar in order to manage Evergreen Reiki’s schedule.
Bookly may also send text-message appointment reminders or related scheduling notifications to the phone number you provide. Standard message and data rates may apply, depending on your mobile service plan. You may contact Evergreen Reiki at hello@evergreenreiki.com if you prefer not to receive text-message reminders.
Google and any SMS or messaging provider connected to Bookly may process information necessary to provide their services under their own privacy policies. Evergreen Reiki is not responsible for the independent privacy, security, or data-handling practices of third-party providers.
Payments Through Venmo
Evergreen Reiki may accept payment through Venmo. If you choose to pay through Venmo, your payment is processed through Venmo and subject to Venmo’s own terms, privacy policy, and security practices.
Evergreen Reiki may receive information associated with your payment, such as your name or Venmo username, transaction date, payment amount, transaction confirmation, and any payment note you choose to include.
Please do not include sensitive health, wellness, medical, or personal details in Venmo payment notes. Payment information is retained only as reasonably necessary for transaction confirmation, business records, tax, accounting, legal, and dispute-resolution purposes.
Email Communications and WP Mail SMTP
Evergreen Reiki uses WP Mail SMTP, a WordPress email-delivery plugin, to help the website reliably send transactional and administrative emails. These may include contact-form replies, appointment confirmations, appointment reminders, cancellation notices, password-reset notices, and other website or service-related communications.
WP Mail SMTP helps route emails sent from the website through Evergreen Reiki’s configured email provider. As part of sending these communications, your name, email address, message content, and relevant appointment or form information may be processed through our website and the email provider connected to WP Mail SMTP.
We use these communications to respond to you, provide requested services, and administer appointments. WP Mail SMTP is not itself used as a newsletter or marketing platform.
If you receive promotional or marketing communications from Evergreen Reiki in the future, you will be given a way to unsubscribe, unless the message is solely transactional, administrative, or directly related to a service you requested.
Website, Comments, and Media
When you visit our website, certain technical information may be collected automatically by our website host, security tools, WordPress, or service providers. This may include your IP address, browser type and version, device type, operating system, referring webpage, pages viewed, date and time of your visit, and cookies or similar technologies.
If you leave a comment on our website, we collect the information shown in the comment form, as well as your IP address and browser user-agent string to support spam detection and website security.
An anonymized string created from your email address, also called a hash, may be provided to the Gravatar service to determine whether you use that service. The Gravatar privacy policy is available at automattic.com/privacy. After approval of your comment, your profile picture may be publicly visible in the context of your comment.
Visitor comments may be checked through an automated spam-detection service. Comments you choose to publish may be visible to other website visitors. Please do not include private, sensitive, medical, financial, or personally identifying information in public comments.

How We Share Information
We do not sell or rent client information.
We may share client information only as reasonably necessary to operate Evergreen Reiki, provide requested services, comply with legal obligations, protect rights and safety, or meet medical-facility obligations when services are provided in a health care setting.
This may include sharing limited information with:
- Bookly and services connected to appointment scheduling, reminders, or booking administration
- Google Calendar to support calendar synchronization and appointment management
- SMS or messaging providers used to send appointment reminders or scheduling notifications
- Venmo to process payments you choose to make through Venmo
- The email provider configured through WP Mail SMTP to deliver website and appointment-related emails
- Website hosting, security, maintenance, technical-support, and automated spam-detection providers
- Medical facilities, clinics, hospitals, hospices, or other health care organizations when required by their applicable privacy, confidentiality, security, documentation, or patient-information policies
- Government agencies, law enforcement, legal representatives, or other parties when required by law or necessary to protect legal rights, safety, or security
- A successor organization in the unlikely event of a business transfer, merger, sale, or restructuring
If you request a password reset for an account on our website, your IP address may be included in the password-reset email as a security measure.
How Long We Keep Information
We retain personal information only for as long as reasonably necessary to provide services, maintain appointment and session records, process and document transactions, meet legal and tax obligations, resolve disputes, enforce agreements, and protect the rights, safety, and security of Evergreen Reiki and our clients.
Session notes may be retained for as long as reasonably necessary to support continuity of service, professional recordkeeping, insurance, legal, safety, accounting, tax, and dispute-resolution purposes.
If you leave a comment on the website, the comment and its metadata may be retained indefinitely. This helps us recognize and approve follow-up comments automatically rather than holding them in a moderation queue.
If users are permitted to register for an account on this website, we store the personal information provided in the user profile. Registered users may generally view, edit, or delete their personal information at any time, except that they may not be able to change their username. Website administrators may also access and edit user-profile information as needed to administer the website, provide support, maintain security, and comply with legal obligations.
